The University of Wyoming Foundation (collectively referred to as “we,” “us,” or “our”) is committed to protecting your privacy.

Privacy Notice

This Privacy Policy outlines our practices regarding the collection, use, and disclosure of personal information through our website (givewyo.org) that link to this Privacy Policy, as well as information received through other channels such as postal mail or in person.

In keeping with our principles of trust and service, we want you to understand what kinds of personal information we collect about you, why we collect it and how we use or disclose it. We also want to make sure you know your rights regarding our collection, use and disclosure of your personal information.

Privacy Notice

We collect personal information that you choose to provide us, which may include the following.

  • Contact Information: Name, email address, postal address, and telephone number.
  • Demographic Information: Student or educator status.
  • Financial Information: Payment card details for donations or purchases.
  • Credentials: Username and password when registering on our Platforms.
  • User Content: Information you provide when participating in discussions, RSVPing for events, submitting stories, or posting content.

We may also collect technical information about your visit to our Platform, such as your domain name, IP address, browser type, device identifier, activities on the Platform, and date and time of your visit.

You may provide this information, for example, when you send a donation, register with the Platforms, RSVP for an event, respond to a feedback form, post content, participate in discussions, submit your story, make a purchase, or send a message.

Your email address will automatically be added to our mailing list unless you opt out of communications in advance. You may also opt out of email communications by selecting the unsubscribe option located in the footer of any of our email communications.

We use Webflow to host our Platforms. Webflow may collect certain technical data about your interactions with our Platforms, such as your IP address, browser information, and access times. Privacy Notice

The personal information we collect is used for the following purposes.

  • Communication: To send you updates, newsletters, and information about our initiatives.
  • Event Management: To facilitate event registrations and participation. This may include generating directions to events and sending reminders.
  • Donations and Purchases: To process transactions and send acknowledgments.
  • Compliance: To adhere to legal obligations and protect our rights.

Retention

We retain personal information in identifiable form only for as long as necessary to fulfill the purposes for which the personal information was provided to us or, if longer, to comply with legal obligations, to resolve disputes, to enforce agreements, or to satisfy any similar essential purposes. To determine the appropriate retention period for personal information, we consider the amount, nature, and sensitivity of the personal information, the potential risk of harm from unauthorized use or disclosure of personal information, the purposes for which we process personal information, and whether we can achieve those purposes through other means, and the applicable legal requirements. Once the retention period expires and if not otherwise required to retain information by law, we will delete or de-identify personal information.

Information Sharing

We may share your personal information in the following circumstances.

  • Affiliates: With related organizations to support our mission, including by sending information to you about the University of Wyoming or other organizations we think may be of interest to you.
  • Volunteer Teams: Groups who help us mobilize participants to support our mission.
  • Service Providers: With third-party vendors who assist in our operations, such as payment processing and event hosting. This also includes vendors who facilitate delivery of advertising and participation in data sharing arrangements to identify prospective donors. We use third-party service providers such as Webflow for hosting and analytics. These providers act on our behalf and are subject to contractual obligations regarding the protection and limited use of your personal data.
  • Legal Requirements: When required by law or to protect our rights and safety.

We do not sell your personal information for monetary compensation. However, we may share your personal information with third parties for marketing purposes, such as Meta. You may opt out of such sharing via the processes described below.

Your Rights

Depending on your place of residency, you may have specific rights, including the ones below. As a matter of respect for your privacy and choices, we choose to honor your request to invoke these rights no matter where you live.

  • Right to Access: You can request to know what personal data we have collected about you.
  • Right to Correct: You can request corrections to your personal data if it is inaccurate.
  • Right to Delete: You can request the deletion of your personal data.
  • Right to Data Portability: You can request a copy of your personal data in a portable format.
  • Right to Opt-Out: You can opt out of the sale of your personal data, targeted advertising, or profiling. You may also withdraw previously given consent for processing sensitive information.
  • The Right to Not Receive Discriminatory Treatment for the exercise of any of the above privacy rights.

Exercising Your Rights

To exercise these rights, please fill out the online form located at submit a privacy request. You may also print this form and mail it to us at University of Wyoming Foundation, Attention: UWF Privacy, 222 South 22nd Street, Laramie, WY 82070.

We will respond to your request within 45 days of our receipt, as required by law. Please note that if you opt out of certain practices, we may be unable to provide you with some services.

Authentication Process and Required Information

Note that we may need to request additional information from you or from your authorized agent to authenticate your identity, to authenticate your agent’s authorization to act on your behalf, or to understand the scope of your request. You will not be required to create an account with us to submit a request or have it fulfilled. We will require you to provide, at a minimum, basic contact information, like your name and phone number or email address. Further detail may be required depending on the nature of your request.

Authorized Agent

Depending on your state law, you may designate an authorized agent to make requests on your behalf by designating such an agent in writing or through a power of attorney. We will require the agent to provide us with proof that you have authorized the agent to make requests on your behalf prior to accepting requests from the agent.

Appeals

Additionally, if you have submitted a request that we have not reasonably fulfilled, you may contact us to appeal our decision by sending an email with the subject line “Appeal” to uwf-privacy@uwyo.edu.

Certain mechanisms or technologies, such as browser signals, may be used to signal your opt-out preferences to entities that process personal information. To the extent that we are able to recognize these signals and they are legally sufficient, we process these signals as requests to opt out of processing for (i) sales of personal information and/or (ii) sharing or processing of personal information for targeted advertising. Depending on the signal you select, the opt-out may apply to only certain interactions, such as on a specific browser or device. How to Opt Out of Personal Information Sharing

We provide multiple methods for you to opt out of the sharing of your personal information and the use of your data for targeted advertising.

  • Manual Opt-Out (Direct Request): You can submit a request to opt out of the sharing of your personal information by request: submit a privacy request or by emailing us at uwf-privacy@uwyo.edu. This method allows us to apply your opt-out request across all of our records that are reasonably linkable to you. If we have questions about your request in order to honor it appropriately, we may reach out to you via the contact information we have.
  • Browser-Based Universal Opt-Out Mechanism (UOOM): We recognize Global Privacy Control (GPC) signals sent by supported browsers or browser extensions. When we detect a valid GPC signal from your device, we treat it as a legally binding request to opt out of the sale or sharing of personal information and from targeted advertising on that device or browser. Please note: The GPC signal only applies to the specific browser and device where it is enabled. To ensure broader application, we recommend also submitting a manual opt-out request.

Sensitive Data

We do not process sensitive data, such as information revealing racial or ethnic origin, religious beliefs, health conditions, sexual orientation, citizenship status, genetic or biometric data, or data from known children, without obtaining your explicit consent.

Data Protection Assessments

We conduct Data Protection Assessments for processing activities that present a heightened risk of harm to consumers, such as targeted advertising, profiling, selling personal data, or processing sensitive data. These assessments ensure that we protect your data effectively.

Data Minimization and Purpose Specification

We collect personal data that is adequate, relevant, and limited to what is necessary concerning the specified purposes. We do not process personal data for unrelated purposes without obtaining additional consent.

Security Measures

We implement and maintain reasonable administrative, technical, and physical data security practices to safeguard your personal data.

Processor Contracts

We ensure that contracts with vendors processing personal data on our behalf include specific requirements, such as limiting processing to identified purposes, maintaining appropriate security, and assisting with consumer rights requests and Data Protection Assessments.

Analytics and Interest-Based Advertising

We may work with third parties to serve more relevant online ads to you based on information we collect about you and information those third parties collect about your activities on our Platforms and across other websites and apps over time, including on different devices. We adhere to the Digital Advertising Alliance (“DAA”) Self-Regulatory Principles in connection with this activity.

You may visit www.aboutads.info to learn more about such Interest-Based Advertising (“IBA”) and how to opt-out of this type of advertising by companies participating in the DAA self-regulatory program. You can also exercise choices regarding interest-based advertising on your mobile device by downloading the appropriate version of the DAA’s AppChoices tool at https://youradchoices.com/appchoices. To opt out of IBA from participating members of the Network Advertising Initiative, you may visit www.networkadvertising.org.

Childrens Data

Our Platforms are not intended for use by children under the age of 13. We do not knowingly collect personal information directly from children. If we learn that we have inadvertently collected such information, we will delete it promptly.
